Running a franchise’s policies and announcements across stores

How a brand keeps every store working from the same rules, contacts and news.

Updated

The short answer

Running policies and announcements across a franchise means keeping one current copy of each house rule, contact list and notice, owned by the brand and read by every store. Staff find it in one place, each policy shows when it was last reviewed, and urgent news is pinned so it is seen first.

The problem with copies

A franchise usually starts with a binder in each store, a few emails and a group chat. Within a year, stores are working from different versions of the same rule, one store has the old repair company’s number taped to the wall, and nobody can say which cash handling policy is current.

Three kinds of paper, three jobs

  • Policies are the house rules: food safety and hygiene, conduct, cash handling, opening and closing. They change rarely and should say when they were last reviewed.
  • Contacts are the numbers a shift needs in a hurry: suppliers, repairs, emergencies, inspectors. Emergencies go first.
  • Announcements are news: a new supplier, a menu change, a recall. They matter for a while, then they do not.

Rules that keep it working

  1. One owner. The brand owns the papers. A store reads them; it does not keep its own copy.
  2. One place. Staff look in the same app they use every shift.
  3. Dated. Every policy shows when it was last reviewed.
  4. Ranked. Urgent news is pinned and marked so it is not lost among routine notes.
  5. Printable. Some things still belong on the wall.

Example: changing the cash handling policy

This is an example of a change going out to six stores.

  • The brand rewrites its cash handling policy: two people now count the till at close.
  • The updated policy replaces the old one, with a new last-reviewed date.
  • A pinned, important announcement says the rule changes on Monday and points to the policy.
  • Each store manager reads it out at the next shift meeting, because nothing in the app records who has read it.

How Mezbano helps

Store papers belong to the brand, so every store of the brand reads the same policies, contacts and announcements, and no other brand can see them. Policies are grouped by category, show when they were last reviewed and print as a page. The contact list prints for the wall with emergency numbers first. Announcements show pinned ones first, with important and urgent ones marked. The Mezbano team enters the papers for the brand, and the brand owner can add a starter set of policies.

What Mezbano does not do here

  • Writing papers yourself in the brand console or a store: the Mezbano team enters contacts and announcements, and policies come from the team or the starter set.
  • Papers a single store writes for itself.
  • Read receipts or staff sign-off on a policy.

Questions owners ask

How do franchises share policies with every store?

Keep one copy of each policy, owned by the brand, where every store reads it. In Mezbano policies belong to the brand, so each of its stores reads the same ones, grouped by category and ready to print.

Who writes the policies and announcements in Mezbano?

The Mezbano team enters them for the brand. The brand owner can also add a starter set of policies, and store pages are for reading.

How do I make sure an urgent announcement is seen?

Pin it and mark it urgent. Mezbano shows pinned announcements first and marks important and urgent ones.

Can staff confirm they read a policy?

Not in Mezbano. It does not record read receipts or staff sign-off on a policy.
