Shift handover notes that get read

How to hand a shift over in writing so the next team knows what matters before service.

Updated

The short answer

A shift handover note tells the next shift what it needs to know: what is unfinished, what broke, what is running low and what to watch. Notes get read when they are short, start with how urgent they are and a one-line summary, then list each item on its own line, written where the next shift already looks.

Why handover notes go unread

  • They are long, and the one thing that matters is in the middle.
  • They do not say how urgent anything is, so everything reads the same.
  • They live somewhere the next shift does not open: a group chat, a notebook in the office.

A shape that works

  1. From and to: which shift is handing over to which.
  2. Priority: normal, important or urgent, so the reader knows how fast to act.
  3. One-line summary: the thing they must know if they read nothing else.
  4. Items, one per line: unfinished prep, equipment problems, items running low, guest issues, anything a manager must decide.

Leave out what went fine. The note is for what the next shift has to do or watch, not a diary of the last one.

Example: day shift to closing

This is an example of a handover note.

  • From: day shift. To: closing shift.
  • Priority: important.
  • Summary: dough is short for tonight; second batch is proofing.
  • Second dough batch was made at 3 pm and is ready from about 6 pm.
  • Reach-in freezer door does not seal; repair booked for tomorrow morning.
  • Low on 16-inch boxes; delivery is due tomorrow.
  • A large catering order is booked for 7:30 pm.

The closing manager can read the summary in two seconds and the list in twenty. Nothing in it is news they could have done without.

Make it a habit

  • Write it in the last half hour of the shift, not after you have left.
  • Read it at the start of the next shift, before service.
  • Put anything that is still open into the next note, so it does not drop.

How Mezbano helps

Handovers are written on the Day page, under Handover for the next shift, on the day itself. Each one has a from and a to shift, a priority of normal, important or urgent, a summary and a list of items, and stays listed with that day for the next shift and the manager to read. Mezbano does not record who read a handover or send a notification when one is written.

What Mezbano does not do here

  • Read receipts or a sign-off that the next shift read the note.
  • Notifications when a handover is written.
  • Writing a handover for a past day: handovers are written on the day itself.

Questions owners ask

What should be in a shift handover note?

Which shift it is from and to, how urgent it is, a one-line summary, then one item per line: unfinished prep, equipment problems, items running low, guest issues and anything a manager must decide.

How do I get staff to read handover notes?

Keep them short, put the urgency and summary first, and keep them in one place the next shift opens anyway. A note buried in a group chat is easy to miss.

Where are handovers written in Mezbano?

On the Day page, under Handover for the next shift, on the day itself. Each one stays with that day, listed under the handovers written on it.

Can I see who read a handover?

No. Mezbano does not record who read a handover.
